This session, hosted by OFAM’s Division of Grants Policy and Planning will summarize grants policy updates, legislative mandates, and topics that impact HRSA award recipients.

Best Practices for Effectively Managing Your Grants

This session will provide information on how to track federal grant funds, document expenditures, and provide adequate supporting documentation. We'll present on time and effort reporting, including acceptable forms of documentation. We'll discuss allowability of costs and share resources and best practices for effectively managing your grants.

Grant Budgeting

This session highlights the many factors to consider when developing and managing a grant budget. It will explore cost principles, NOFO requirements, allowable/unallowable costs, limitations and the importance of budget justifications. We'll use examples to illustrate common budgeting mishaps and resulting consequences.

Risky Business: Maturing Your Organization from Problem Solving to Risk Management

Do you feel like your organization is always putting out fires? Are issues dealt with at the last minute, with a scramble for resources? During this session, our panelists will share their approach and best practices for maturing from crisis management to risk management.

Understanding and Managing your Award

This session will share what you need to know once you receive the Notice of Award (NoA). We'll review common post-award actions involved in the day-to-day administration of a HRSA award.

Topics will include:

  • Understanding the terms and conditions and reporting requirements
  • The importance of accurate and timely submissions
  • Common types of prior approval requests and when they are required
  • Roles and responsibilities of the HRSA grants management specialist and Project Officer.

Healthy Financial Management Practices Roundtable

This roundtable discussion will include topics such as the importance of a “clean” single audit, 2021 Top 5 Audit Findings for HRSA programs, evaluating ratios and financial performance, documenting expenditures and best practices for sound financial management.

Changes in Financial Reporting and Payment Management System Updates

In today’s session, we'll discuss the Department's initiatives that led to the changes in financial reporting, the goals and benefits of the changes. Additionally, we'll cover the new features of the APEX reports that are available in the Payment Management System, which will assist you in reconciling your federal awards.

Working Together, Hand in Hand: An Equity Roundtable

Join a roundtable discussion during the Healthy Grants Workshop with representatives from five HRSA offices to discuss questions around equities and inequities. These offices work across HRSA with the various programmatic Bureaus in HRSA, assisting with the mission of HRSA.

Panel members will discuss the role of public health in addressing the issues of equity, diversion and inclusion, barriers, and maximizing competition in federal assistance. The discussion will also focus on HRSA’s efforts as an agency and it’s partnering activities within HHS and external stakeholders.

This presentation will provide an overview and early successes of HRSA’s Health and Public Safety Workforce Resiliency Training Program (HPSWRTP) awards. The program aims to reduce and address burnout, suicide, mental health conditions and substance use disorders and promote resiliency among the “health workforce."

Recent updates to the Electronic Handbooks (EHB) and Answers to common Electronic Handbook (EHB) questions

The Electronics Handbooks (EHB) is an important tool for managing and tracking your HRSA grant. EHB is frequently updated with new information and features to improve the experience for all users. Join this session to learn about the latest EHB developments and to get answers to common EHB questions. There will also be time available for participants to ask questions.

A Healthy Single Audit and What to Expect During HRSA’s Audit Resolution Process

You will receive an overview of what you need to ensure a healthy single audit including auditor opinions. We'll present information regarding HRSA’s audit resolution process, common audit findings and adequate correction actions to address the findings along with a few case studies.

Grant Fraud and the Grantee

You'll receive an overview of HHS OIG’s role in combatting fraud, waste and abuse. The OIG will discuss fraud indicators, why people commit fraud, some cases examples, and fraud consequences.

The Grants QSMO: Improving the Federal Grants Experience

The Grants Management Quality Service Management Office (Grants QSMO) was formally designated in January 2021 to transform government-wide grants management end-to-end. Mary Beth Foley, Grants QSMO Customer Engagement Lead, will provide an overview about the Grants QSMO, current initiatives, path ahead, and gather insights from the audience on how the Grants QSMO can best improve federal grants management for applicants and recipients.

Improving the Health of Underserved Populations: How to Meet Your Language and Disability Access Obligations

In this session, we'll summarize relevant legal obligations related to language access and disability access and cover specific topics such as physical access, medical access, and promoting health equity for underserved patients.

We'll also review the process of creating a disability access plan and language access plan, which serve as roadmaps for your organization to develop equitable policies/practices to better service patients with disabilities and patients who don't speak English as their first language.

Last, we'll walk through common scenarios/challenges and review practical solutions to make your programs more accessible and equitable.

Promoting Effective Communication in Healthcare

Effective communication is a critical tool to promoting equity and accessibility by people with disabilities to quality healthcare services. It's also a legal obligation for HRSA funding recipients.

During this session, we'll provide strategies that your organization can implement to promote effective communication. We'll cover specific topics such as:

  • Situations when it's appropriate to use an in-person sign language interpreter versus video remote interpreting
  • Example accommodations to support patients with certain types of communication disabilities
  • Model effective communication policies, practices, and procedures
